Send and manage client invoices
Send an invoice for a booking from the calendar's Send Invoice button, then manage sent invoices (payment status, PDF download, resending, reversing payments) from the Invoices page in your salon admin. The Send Invoice button appears only when your salon has invoicing enabled and the booking does not already have an invoice.
Before you send
Set up your billing details before your first invoice. The payment details shown to your client (recipient name, bank account, registry code, VAT number, VAT rate) come from Settings > Payments & billing > Business Details.
You need settings access, which salon owners and admins have by default. Without it, the settings page shows You don't have permission to access settings.
Open your salon admin and select Settings.
Go to Payments & billing > Business Details. Details entered here appear on the invoices you send.
Fill in Business Entity Name and Bank Account (IBAN). They prefill the invoice's Payment recipient name and Payment recipient bank account.
Enter your Business Registry Code, and your VAT/KMKR number if you are VAT-registered.
Choose a Default invoice VAT rate: No VAT or 24%.
Select Save Settings in the You have unsaved changes bar at the bottom of the page. The page confirms with Settings updated successfully.
The Business Details fields can stay blank in settings, but the invoice form requires the same details when you send. If a prefilled value is empty, you cannot preview or send until the form's Payment recipient name, Payment recipient bank account (at least 10 characters), and Payment recipient registry code are filled in. With a 24% VAT rate, Your VAT/KMKR number is required as well; No VAT needs no VAT number. The address shown for your salon on the invoice comes from your salon's location details, so there is no address field to fill in on the invoice.
Bank-transfer payments use the Payment description setting as the payment reference the customer enters when paying. It defaults to Invoice number, so you can send your first invoice without changing it. See Choose the payment description for invoices to pick a different format.
Send an invoice from a booking
Open your salon admin and go to the calendar.
Click the booking you want to invoice to open its details panel.
Select Send Invoice. This opens the Send invoice form.
Fill in the invoice details
The form groups everything your client will see on the invoice. Fields prefill from the booking where possible; everything stays editable until you send.
Services & products
The booking's services are listed with their Name and Price fixed; each line has an editable Discount % between 0 and 100. Select Add product to add extra line items with their own Name, Price, and Discount %, or remove a custom line with Remove. Payments already recorded on the booking, such as a Cash payment or Card payment, appear as negative line items so the total reflects what is still owed.
The totals area always shows Total; Subtotal and Discount appear once you add a discount.
Send to
This is where the invoice email is sent. Contact name and Invoice email prefill from the booking's client, and you can edit both before sending. The customer needs a full name and a valid email address.
Buyer on invoice
Enter Buyer name for the invoice recipient. When the invoice is for a business, check Invoice to company to add the company's registry code, VAT/KMKR number, address, postal code, city, country, and a buyer reference or note such as a PO number.
Note and payment details
Use Additional note for any extra payment or accounting details you want shown on the invoice.
The Payment details section is your salon's own payment information, shown to the client on the invoice: payment recipient name, bank account, registry code, your VAT/KMKR number, and a VAT rate of No VAT or 24%. Below it, set the Due date.
Preview and send
Select Preview invoice to check the finished invoice in an Invoice preview panel before anything is sent.
Select Send invoice. The form closes and the invoice is emailed to the client's invoice email address.
When the invoice is sent, you see the confirmation Invoice sent to customer!
Sending fails with Booking is already fully paid. when there is nothing left to invoice, or This booking already has an invoice. Record payment from the invoice instead. when the booking was already invoiced. Other problems, like a missing or invalid email, are shown on the field that caused them.
Track invoices from the Invoices page
Every sent invoice is listed on the Invoices page in your salon admin. The page opens on the current month; move between periods with the arrow controls and return with This month.
Filter by status with All, Paid, or Unpaid, or search by customer or worker name.
The table shows Invoice #, Customer, Worker, Amount, Due Date, and Status, newest first.
Statuses are Paid, Unpaid, and Voided.
Click a row to open the invoice details panel, which shows the payment status, when the invoice was sent and by whom, and the actions below.
Record a bank transfer payment
When the client paid an unpaid invoice by bank transfer, record it so the invoice and its booking are marked as paid.
Open the invoice's details panel.
Select Paid by bank transfer. This action is for bank transfer payments only.
The panel switches to Paid and confirms Bank transfer recorded. The linked booking is settled as well.
After sending
Once the invoice is sent, its details are locked. The booking's services, service prices, discounts, and added products can no longer be edited, and the invoice itself has no edit form. The invoice details panel only offers viewing, the PDF download, resending, and the payment actions.
Reverse a recorded bank-transfer payment
Use Reverse invoice payment when you recorded a bank transfer by mistake. The button appears in the invoice details panel while the invoice has a recorded payment.
Open the invoice's details panel.
Select Reverse invoice payment.
Confirm the reversal. The panel shows Invoice payment reversed. and the invoice goes back to Unpaid.
Reversing keeps the ledger history and makes the invoice unpaid again. The linked booking is settled as unpaid as well, so you can record the bank transfer again once you have the correct payment.
Voided invoices
A voided invoice shows the Voided status and can no longer be used. Resend Invoice and the payment actions are hidden, so a voided invoice cannot be resent or marked paid. You can still open it with View Invoice and download the PDF.
The voided invoice still counts as the booking's invoice, so Send Invoice does not reappear on the booking.
Download the invoice PDF
In the invoice details panel, select Download PDF to open the invoice as a PDF in a new tab.
Resend an invoice
Open the invoice's details panel and select Resend Invoice. The button is hidden for voided invoices.
In the Resend invoice dialog, check the invoice number, customer name, and email shown at the top.
Delivery by Email is always on. Optionally also enable SMS, which sends the invoice link to the customer's phone.
Select Send. The invoice is sent again and you see Invoice resent to customer!
