Record a payment for a booking
Record a customer's payment from the Checkout action in a booking's Booking Details. Choose Cash, Card, or Gift card, and Taimli records the payment and updates the booking's paid status. Taimli does not process the customer's cash or card payment; you collect the money yourself and mark the booking as paid. This guide covers payments you record yourself. For online prepayments customers make before their booking is confirmed, see Require prepayment for online bookings.
Before you start
The Checkout button appears in Booking Details only when all of these are true:
The booking is not already fully paid.
The booking has no invoice.
Payments are enabled for your salon.
For how to open a booking's details, see Managing Appointments.
Record a cash or card payment
Use this when the customer pays the bill in person and you want to mark it paid.
Open the appointment in the admin Calendar and open its Booking Details.
In the Payment section, choose Checkout.
Under Payment method, choose Cash (take a cash payment now) or Card (record a card payment), then continue.
Check Booking total and Still unpaid. Optionally add one-off charges under Additional items with Add item.
Set Amount to pay now. It defaults to the full unpaid amount.
Optionally add a note.
Click Pay with cash or Pay with card. Payment records successfully and checkout closes.
Record a gift card payment
Redeem a gift card's balance against the booking at checkout. To issue or check a card's balance first, see Gift cards.
Open the appointment in the admin Calendar and open its Booking Details.
In the Payment section, choose Checkout.
Under Payment method, choose Gift card, then continue.
Enter the Gift card code and click Validate. Lowercase and dashed input work. The panel shows Gift card balance, Will be used, and Still unpaid after gift card.
Optionally add a note, then click Pay with gift card. Payment records successfully and checkout closes.
If validation fails, you'll see one of these messages: "Enter a gift card code." "Gift card not found." "Gift card has expired." "Gift card has no balance left."
Take a partial payment
A partial payment is allowed: enter a smaller Amount to pay now, or redeem a gift card with a smaller balance than the bill. The booking becomes Partially paid and the remaining balance stays due. To take the rest, reopen Checkout and record another payment; each later payment is a separate Checkout action, and the amount now defaults to the remaining unpaid amount. A gift card payment cannot be combined with Cash or Card in the same Checkout action, so a gift card that covers only part of the total leaves the remainder for a later payment.
When the booking already has an invoice
Once an invoice is sent, the Checkout button disappears from Booking Details and payment is recorded against the invoice instead. Create the invoice with Send Invoice in Booking Details; invoicing must be enabled for your salon. For an unpaid invoice, Booking Details offers Paid by bank transfer, for when the customer paid the invoice by bank transfer, and records the payment on both the invoice and the booking.
Revert payment status
Revert Payments in Booking Details clears the booking's paid status when a payment was recorded by mistake. It reverses all recorded payments on the booking at once, not a single payment, and restores gift card balances. The original payments are not deleted; separate reversal entries are recorded alongside them. A successful reversal shows "Payment status cleared".
Revert Payments cannot be used after an invoice has been sent. To undo an invoice payment, Booking Details offers Reverse invoice payment, which keeps the ledger history and makes the invoice unpaid again.
Where payments appear in the history
Each recorded payment creates a Payment recorded entry in the booking's Activity log, showing the method, such as Cash, Card, Gift card, Bank transfer, or Multiple methods, with the amount, the time, and who recorded it. A reversal appears as Payment reverted. For how to open the log, see View a booking's activity history.
